Setting the Send From Email
The Send From field is available when sending bulk Outreach Emails, individual Send Email activities, and emails through Automations. This dropdown displays the team members available in your DonorDock account and lets you choose which user appears as the email sender.
Sending From an Individual Team Member
If the email should come from a specific person at your organization, select that person's DonorDock account in the Send From field.
For example, you might send:
A fundraising appeal from your Executive Director
A volunteer update from your Volunteer Coordinator
An event announcement from your Events Manager
DonorDock will use the name and email address associated with the selected team member.
Sending From a Shared Organizational Email Address
You can also send from a general organizational address, such as:
info@yourorg.org
development@yourorg.org
events@yourorg.org
Because every Send From address must be connected to a DonorDock team member, an Administrator can create a Non-Interactive team member for a shared email address.
A Non-Interactive team member:
Cannot log in to DonorDock
Can be selected in the Send From field
Does not count toward your organization's user limit
This allows your organization to send from a shared address without creating an additional DonorDock login.
How Domain Authentication Affects the Send From Address
The Send From selection determines the name and email address associated with the team member sending the message. Domain authentication determines whether DonorDock is authorized to send the email using your organization's domain.
If your organization's domain has not been authenticated, emails sent through DonorDock will use noreply@donordock.com as the sending email address. However, the sender name will still display the name of the team member selected in the Send From field.
For example, if Jane Smith is selected as the Send From team member but the organization's domain is not authenticated, the email may appear to the recipient as: Jane Smith noreply@donordock.com
Once your organization's domain is authenticated, DonorDock can send using the email address associated with the selected team member on that authenticated domain. For example: Jane Smith jane@yourorg.org
Some email domains cannot be authenticated by your organization. This includes free email services such as Gmail or Yahoo because your organization does not control those domains. If a team member uses an address such as janesmith@gmail.com or janesmith@yahoo.com, emails sent through DonorDock will continue to use noreply@donordock.com as the sending address while displaying the selected team member's name.
What Happens When a Recipient Replies?
Regardless of whether your organization's domain is authenticated, replies are directed to the email address of the team member selected in the Send From field.
For example, if Jane Smith is selected as the Send From team member and her DonorDock account uses jane@yourorg.org, a recipient who clicks Reply will send their response to jane@yourorg.org.
The same applies if Jane uses a Gmail or Yahoo address. Even though the original message may display noreply@donordock.com as the sending address, the recipient's reply will be directed to the email address associated with Jane's DonorDock team member account.
Replies received in the team member's email inbox are not currently tracked back to DonorDock as an activity. If you want the reply recorded on the contact's DonorDock record, it will need to be logged separately.
