Sending Bulk Outreach Emails

Bulk Outreach Emails allow you to send personalized marketing communications to groups of contacts in DonorDock. These emails are commonly used for newsletters, fundraising appeals, event announcements, organizational updates, and other mass communications.

Create a Bulk Email
  1. Navigate to Outreach > Emails.

  2. Click Create Email.

  3. Select who the email will be Sent From.

  4. Select the contacts or Marketing List the email will be Sent To.

  5. Enter the Subject.

  6. Select a Campaign or Appeal, if applicable.

  7. Complete the remaining email settings.

  8. Build the email using the email editor or load an existing Marketing Template.

  9. Click Test to send yourself a test copy of the email.

  10. Review the test email and make any needed changes.

  11. Send the email immediately or schedule it for a future date and time.

Personalizing Bulk Emails

Merge tags allow you to personalize one bulk email using information stored on each recipient's contact record.

For example: {{donor.name}}

When the email is sent, DonorDock replaces the merge tag with the appropriate information for each recipient.

You can use merge tags throughout the email to create more personalized communications without building a separate email for each contact.

Before Sending

We recommend sending a test email before every bulk send.

A test allows you to review:

  • Subject line

  • Links and buttons

  • Images

  • Merge tags

  • Spacing and formatting

  • Mobile display

  • Overall email content

Sending Now vs. Scheduling

You can send a bulk email immediately or schedule it for a future date.

Scheduled emails are included when DonorDock calculates the number of Outreach Emails currently available to your organization.

Once a bulk email begins sending, you can open its Email Details page and select Cancel in the top right if you need to stop the remaining messages.

Attachments

Attachments cannot be included with emails sent through DonorDock.

If you need to share a document, upload the file to an appropriate online location and include a link in your email instead.
