Saving and Managing Custom Reports
If you build or customize a report that your organization will use again, you can save it as a Custom Report instead of recreating the same filters and columns each time.
Saved reports are dynamic. DonorDock saves the report setup, including the selected filters and columns. Each time you open the saved report, DonorDock pulls the latest records that meet those saved criteria.
Standard Reports vs. Custom Reports
Standard Reports are provided by DonorDock and serve as starting points for common reporting needs. Custom Reports are reports your organization has created and saved.
If you customize a Standard Report and want to keep those changes, use "Save As" to create a separate Custom Report. Standard Reports cannot be renamed, deleted, or overwritten with your changes.
Save a Report for the First Time
You can save either a new report you created from scratch or a customized version of a Standard Report.
Once you have the filters and columns set the way you want:
Click "Save As".
Enter a name for the Custom Report.
Save the report.
Choose a name that makes the purpose of the report easy for other team members to understand.
For example:
Major Donors Over $1,000
Minnesota Donors
Current Fiscal Year Memberships
Development Director Portfolio
Volunteers This Fiscal Year
A clear report name becomes especially helpful as your organization builds a larger library of saved reports.
Save Changes to an Existing Custom Report
If you open an existing Custom Report and make changes that you want to keep, click "Save". This updates the saved Custom Report with your current report configuration.
Use "Save" when you want to update the existing Custom Report.
Use "Save As" when you want to preserve the original report and create a separate Custom Report based on it.
Creating Different Versions of a Report
"Save As" is also useful when you already have a Custom Report that is close to what you need but want to create a different version.
For example, if you have a saved report called Major Donors Over $1,000. You could open that report, change the giving threshold to $5,000, and use "Save As" to create a second report called Major Donors Over $5,000.
This lets you use an existing report as a starting point without rebuilding the filters and columns from scratch or changing the original report.
Find Your Saved Custom Reports
From the main Reports page, reports are arranged into three columns:
Contact Reports on the left
Gift Reports in the center
Activity Reports on the right
Within each column, DonorDock's Standard Reports are listed first. Your organization's saved Custom Reports for that report type appear below the Standard Reports.
A saved Contact Report will therefore appear with the Contact Reports, a saved Gift Report with the Gift Reports, and a saved Activity Report with the Activity Reports.
Delete a Custom Report
Custom Reports that are no longer useful can be removed from the Reports page.
To delete a Custom Report:
Navigate to "Reporting" > "Reports".
Open the Custom Report you want to delete.
Click "Remove".
A confirmation message will appear.
Confirm that you want to remove the report.
Only Custom Reports can be deleted. Standard Reports provided by DonorDock cannot be removed.
Not every report needs to be saved. If you are answering a one-time question, it may be easier to create the report, review or export the results, and leave it unsaved.
Saving useful reporting views can help your team spend less time rebuilding reports and more time working with the information those reports provide.
