To migrate data from Blackbaud Raiser’s Edge into DonorDock, you will need to export your constituent and gift information using Raiser’s Edge Query and Export tools.

This guide covers the recommended process and field selections for creating manageable CSV files to import into DonorDock.

What to Export

For a typical migration to DonorDock, we recommend exporting:

  • Constituent names and contact information

  • Gift history

  • Pledge information

Save exports as CSV files so your selected fields are included in a single file.

Adding significantly more fields than needed can result in very large or difficult-to-process export files. Start with the recommended fields below and add additional information only when it is important to your migration.

Before You Begin

Before creating your exports:

  • Consider creating a Query folder named DonorDockCRM to keep your migration queries organized.

  • Plan to include your entire constituent database, including inactive and deceased constituents, if you want to preserve historical records.

  • Use Static queries rather than Dynamic queries when possible to help improve export performance.

Export Constituent Information

Create the Constituent Query

  1. Navigate to Query in Raiser’s Edge.

  2. Create a new Constituent type query.

  3. Leave the query criteria empty so your full database can be included.

  4. Enable the available options to include:

    • Inactive constituents

    • Deceased constituents

    • Constituents with no valid address

Select Constituent Output Fields

When defining your query output, select the following fields from the Constituent record.

Identification and Name

  • System Record ID (CnBio_System_ID)

  • Constituent ID (CnBio_ID)

  • Import ID

  • Sort Name

  • Key Indicator

  • Last Name

  • First Name

  • Organization Name

  • Middle Name

  • Maiden Name

  • Nickname

  • Title 1

  • Suffix 1

  • Birth Date

  • Deceased

  • Anonymous

Addressee and Salutation

  • Primary Addressee

  • Primary Salutation

Preferred Address

  • Address Line 1

  • Address Line 2

  • City

  • State

  • ZIP

  • Country

  • Type

Contact Information

  • Available phone numbers

  • Available email addresses

Once your output fields are selected:

  1. Run the query.

  2. Save the query using a clear name, such as DonorDock All Records.

  3. Export the results as a CSV file.

  4. Make sure your export includes column headers that identify each field.

💡 Large database? Constituent exports may take some time to process depending on the size of your Raiser’s Edge database.

Export Gift and Pledge Information

Create the Gift Query

  1. Navigate to Query.

  2. Create a new Gift type query.

  3. Leave the criteria empty if you want to export your complete gift history.

Select Gift Output Fields

From the general Gift area, select the following fields:

  • System Record ID (Gf_Gift_ID)

  • Constituent ID

  • Anonymous

  • Fund

  • Appeal

  • Campaign

  • Check Date

  • Check Number

  • Currency Amount

  • Date First Pay

  • Gift Amount

  • Gift Date

  • Gift Subtype

  • Gift Type

  • Tribute Type

  • Tribute Description

  • Installment Frequency

  • Payment Method

  • Reference

Once the fields are selected:

  1. Run the query.

  2. Save the query using a recognizable name.

  3. Export the results as a CSV file.

  4. Make sure the exported file includes column headers.

💡 Tip: Depending on the structure of your Raiser’s Edge data and export, identifiers may appear multiple times when records have related gift or payment information. Preserve these identifiers in your export because they can be useful when connecting records during migration.

Otto Tips

🧭 Export your full history: Including inactive and deceased constituents can help preserve historical giving information and reporting.

🛟 Keep your exports manageable: Start with the recommended field lists and only add additional fields that contain information you need to retain.

🌊 Allow time for larger exports: Large constituent and gift databases may take longer for Raiser’s Edge to process and export.

Please note: DonorDock does not have access to Blackbaud Raiser’s Edge or control over changes to its features, terminology, or export process. This guide is provided as a general resource to help you begin your migration. If the options available in your account differ from those shown here, or you need assistance locating or exporting data, you may need to contact Blackbaud for guidance.
