Gift Reports

Gift Reports help you review and analyze the Gifts recorded in DonorDock. In most Gift Reports, each row represents an individual Gift, so the same Contact may appear multiple times if they have multiple Gifts that meet the report criteria.

Gift Reports are the best starting point when your question is about transactions rather than Contacts. You might use a Gift Report to review giving during a particular period, analyze Gifts connected to a Campaign or Fund, review pledge activity, identify Gifts within a certain amount range, or compare giving across different parts of your fundraising program.

The "Gift Date" filter is especially important when working with Gift Reports because it determines the period of giving history DonorDock will use when generating the report.

Standard Gift Reports

DonorDock includes several Standard Gift Reports for common fundraising and financial reporting needs. Some display individual Gift records, while others use Gift data to create a summarized or specialized view.

Gift Report Filters

When creating a custom Gift Report or opening the blue "Filters" menu on an existing Gift Report, you can combine several filters to determine which Gifts should be included.

If a filter is left blank, DonorDock does not use that field to further restrict the results. For example, leaving "Campaign" blank does not mean the Gift must have no Campaign. It means Gifts from all Campaigns are eligible to appear as long as they meet the other report criteria.

Gift Date

The "Gift Date" filter is one of the most important settings on a Gift Report because it establishes when the Gifts you are analyzing occurred.

Available date ranges include:

  • Any

  • Today

  • Last 7 Days

  • This Month

  • Last 30 Days

  • Last Month

  • This Quarter

  • Last Quarter

  • This Year

  • Last Year

  • This Fiscal Quarter

  • Last Fiscal Quarter

  • This Fiscal Year

  • Last Fiscal Year

  • Custom

Selecting "Custom" allows you to enter your own start and end dates.

For example, if you want to review all Gifts recorded between January 1, 2024 and December 31, 2025, select "Custom" and enter that range. DonorDock will evaluate the individual Gift records within that period and then apply any additional filters you have selected.

Batch Number

Organizations using Gift Batches can use "Batch Number" to limit the report to Gifts associated with a specific Batch.

This can be useful when reviewing or reconciling a particular set of Gifts that were entered or tracked together through DonorDock's Batch functionality.

If your organization does not use Gift Batches, this filter may not be relevant to your reports.

Campaign

Use the "Campaign" filter when you want to review Gifts connected to one or more specific Campaigns.

Campaigns are used to organize fundraising around a broader objective or initiative. You can select multiple Campaigns in the filter when you want to review their Gift activity together rather than running a separate report for each one.

For example, you might select several annual appeal Campaigns to compare the Gifts associated with those efforts across multiple years.

Leaving the "Campaign" filter blank allows Gifts from all Campaigns, as well as Gifts without a Campaign, to be included as long as they meet the other report criteria.

Appeal

Use the "Appeal" filter when you want to narrow the report to Gifts attributed to one or more specific fundraising asks or outreach efforts.

Multiple Appeals can be selected in the same report. This can be useful when you want to review several related Appeals together or compare how different fundraising efforts contributed to the same Campaign.

You can also combine the "Appeal" filter with "Campaign". For example, select a Campaign first and then one or more Appeals when you want to focus on specific fundraising efforts within that larger Campaign.

Leaving the "Appeal" filter blank allows Gifts associated with any Appeal, as well as Gifts without an Appeal, to be included if they meet the remaining report criteria.

Fund

Use the "Fund" filter when you want to review Gifts designated to one or more specific Funds.

Funds generally represent where or for what purpose the Gift is intended to be used. You can select multiple Funds in the same report when you want to analyze several designated areas together.

For example, you might select multiple program Funds to review the giving those programs received during the current fiscal year.

Leaving the "Fund" filter blank allows Gifts associated with any Fund, as well as Gifts without a Fund, to be included when they meet the other report criteria.

Giving Page

Use the "Giving Page" filter when you want to review Gifts associated with one or more specific DonorDock Giving Pages.

This can be useful when your organization has several Giving Pages and you want to see which Gifts were generated through a particular page or group of pages.

You can select multiple Giving Pages within the filter. For example, if you created several Giving Pages for the same fundraising initiative, you can select them all and review their Gifts together in one report.

Leaving the "Giving Page" filter blank allows Gifts from all Giving Pages, as well as Gifts that were not created through a Giving Page, to be included if they meet your other report criteria.

Gift Status

The "Gift Status" filter determines which stages of a Gift are allowed to appear in the report.

By default, Gift Reports include:

  • Pledged

  • Received

Additional available statuses include:

  • Canceled

  • Processing

For most general giving reports, the default combination of Pledged and Received provides a broad view of both Gifts already received and Gifts that are still expected.

If you only want completed revenue, you may choose to remove Pledged from the filter and report only on Received Gifts.

If you are specifically reviewing outstanding pledges, you may instead remove Received and report only on Gifts with a Pledged status.

Canceled and Processing Gifts can also be added when those records are relevant to the question you are trying to answer.

Gift Types

The "Gift Types" filter allows you to control which types of transactions are included.

Available Gift Types include:

  • Donation

  • Membership

  • Event Ticket

  • Grant

If no Gift Type is selected, the report can include all Gift Types that otherwise meet your report criteria.

Payment Types

Use "Payment Types" when you want to limit the report based on how Gifts were paid or recorded.

You can select the applicable Payment Types for the report, or leave the filter blank when the payment method does not matter to your analysis.

Gift Tags

Gift Tags allow individual Gift records to be categorized independently of the Contact who made the Gift.

Use "Tags" to include Gifts with selected Gift Tags and "Exclude Tags" to remove Gifts with selected Tags.

You can select multiple Tags in either filter. Combining the include and exclude options can help you create more targeted Gift reports when Gifts have overlapping classifications.

Badges and Marketing Lists

The "Badges", "Exclude Badges", "Marketing Lists", and "Exclude Marketing Lists" filters allow you to narrow Gift results based on information associated with the donor's Contact record.

For example, you could review Gifts made by Contacts who have a particular Badge, or exclude Gifts from Contacts who are already part of a particular Marketing List.

This allows you to combine transaction criteria with Contact-level segmentation.

Membership Types

Use "Membership Types" when you want to narrow Gift results based on selected Membership Types.

You can search for and select multiple Membership Types when needed. Leaving this filter blank allows Gifts to be included regardless of Membership Type as long as they meet the other report criteria.

Owner

The "Owner" filter allows you to limit Gift results based on the Owner assigned to the Contact associated with the Gift.

For example, if your organization assigns donor portfolios to different team members, you can select a particular Owner to review Gifts from Contacts assigned to that person.

Multiple Owners can be selected when you want to report across a group of team members.

Gift Amount Range

The "Gift Amount Greater Than" and "Gift Amount Less Than" filters can be used together to create a Gift Amount range.

Reporting Goal

Filter Setup

Gifts greater than $1,000

Set "Gift Amount Greater Than" to 1,000

Gifts less than $100

Set "Gift Amount Less Than" to 100

Gifts between $500 and $5,000

Set "Gift Amount Greater Than" to 500 and "Gift Amount Less Than" to 5,000

These filters help you identify major Gifts, review smaller-dollar giving, or analyze gifts within a particular giving level. You can also apply column specific filters on gift amount after the report has generated.

Gift Reports vs. Contact Reports for Giving History

Gift Reports and Contact Reports can both answer questions about giving, but they approach that information differently.

Question

Better Report Type

Which Contacts are currently donors?

Contact Report

Whose first Gift occurred this year?

Contact Report

Whose most recent Gift occurred in the last 30 days?

Contact Report

Which individual Gifts were received this year?

Gift Report

How much did donors give during a historical period?

Gift Report

Which Gifts were associated with a particular Campaign or Fund?

Gift Report

Which donors gave at any point between two historical dates?

"Giving Summary" Gift Report

This difference matters most for historical reporting.

A Contact Report using "Last Gift Date" evaluates the donor's current most recent Gift. A Gift Report using "Gift Date" evaluates the actual Gift records that occurred during the selected period.

For example, if a donor gave in 2021 and again in 2026, a Contact Report filtered to a "Last Gift Date" in 2021 will not return that donor because their most recent Gift is now in 2026.

A Gift Report with "Gift Date" set to the 2021 period will still find their 2021 Gift.

If you want one summarized row per donor rather than every individual Gift, use the Standard "Giving Summary" report. It uses the Gift records within your selected date range and summarizes that giving by donor, making it especially useful for historical giving analysis.
