Funds Overview

Funds in DonorDock help your organization track where donations are intended to be used. They are especially helpful for organizations that need to distinguish between different programs, restricted purposes, or accounting designations.

You can associate funds with Gifts, Pledges, and Online Giving Pages, and you can report on them throughout DonorDock.

Funds are available under Transactions > Funds.

A simple way to think about Campaigns, Appeals, and Funds is:

Tracking Option

Purpose

Campaign

What your organization is raising money for

Appeal

How your organization is soliciting donations

Fund

Where the donation is intended to be used

For example, a donor might give through a Year-End Appeal that belongs to the Annual Campaign, while the actual gift is designated to the Scholarship Fund.

Fund Fields

When creating or editing a Fund, the following fields are available:

Fund Field

Description / Usage

Name

Name used to identify the Fund.

Goal

Optional fundraising goal for the Fund.

Description

Internal description or additional information about the Fund.

Account Number

Optional accounting identifier associated with the Fund.

Account Class Name

Optional accounting classification associated with the Fund.

💡 If your organization integrates DonorDock with an accounting system such as QuickBooks, use consistent accounting values based on how your integration is configured.

Create a Fund
  1. Navigate to Transactions > Funds.

  2. Click + Add Fund.

  3. Enter the Fund Name.

  4. Add the Goal, Description, Account Number, and Account Class Name when applicable.

  5. Click Create and Save.

View or Edit a Fund
  1. Navigate to Transactions > Funds.

  2. Search for the Fund.

  3. Click the Fund Name to open the Fund Overview.

  4. Open the Fund Actions menu.

  5. Select Edit Fund.

  6. Make the applicable changes.

  7. Click Save.

Add Gifts to a Fund

You can select a Fund as a designation when creating or editing a Gift.

This allows your organization to track the intended use of the donation.

For example, a donor may give $500 to your organization and request that it be used for a specific scholarship program. You could associate that Gift with the corresponding Scholarship Fund.

You can also filter and report gifts by Fund in Gift Reports.

Archive a Fund

When a Fund is no longer active, you can archive it rather than delete it.

Archiving preserves the historical data associated with the Fund while removing it from active use.

To archive a Fund:

  1. Navigate to Transactions > Funds.

  2. Open the Fund.

  3. Open the Fund Action Menu using the three dots.

  4. Select Archive.

View Archived Funds

  1. Navigate to Transactions > Funds.

  2. Open the View dropdown.

  3. Select Archived.

  4. Search for and open the Fund.

Reactivate an Archived Fund

  1. Navigate to Transactions > Funds.

  2. Select Archived from the View dropdown.

  3. Open the Fund.

  4. Open the Fund Action Menu.

  5. Select Reactivate.

The Fund will become available for active use again.

Delete a Fund

Administrators can permanently delete a Fund when it is no longer needed.

  1. Navigate to Transactions > Funds.

  2. Open the Fund.

  3. Open the Fund Action Menu.

  4. Select Delete Fund.

  5. Confirm the deletion.

⚠️ Deleting a Fund cannot be undone. Whenever possible, consider archiving the Fund instead if you want to preserve historical information.

Import Funds

Funds can be created through the DonorDock Import tool.

Fund names can also be included when importing Gifts.

When importing a Gift with a Fund value:

  • If the Fund Name matches an existing Fund in DonorDock, the Gift will be associated with that Fund.

  • If no matching Fund is found, DonorDock can create a new Fund using the name from the import.

💡 Fund matching is based on the Fund Name. Make sure the spelling and spacing in your import file match the existing Fund Name when you intend to connect Gifts to an existing Fund.

Merge Duplicate Funds

If duplicate Funds are created, they can be merged from the Funds table.

  1. Navigate to Transactions > Funds.

  2. Select the checkboxes next to the two Funds you want to merge.

  3. Click the Merge action.

  4. Select which Fund you want to keep.

  5. Confirm the merge.

The Gifts and Activities associated with the Fund that is not retained will be transferred to the Fund you choose to keep. The other Fund will be archived.

💡 Funds can only be merged while viewing either the Active or Archived table. The Merge option is not available from the All view because that view can contain a mixture of active and archived Funds.

Create a Gift Report for a Fund
  1. Navigate to Reporting > Reports.

  2. Click + Create.

  3. Select Gift Report.

  4. Enter the applicable date range.

  5. Add the Fund as a report filter.

  6. Add any additional filters you need.

  7. Click Run Report.

You can then customize the report columns, apply column filters, group results, or save the report for future use.

Funds and Online Giving

DonorDock Online Giving Pages can work with Funds in two primary ways:

  1. Assign all Gifts from a Giving Page to the same default Fund.

  2. Allow donors to choose from multiple Funds when making a donation.

Set a Default Fund on a Giving Page

To automatically designate Gifts from a Giving Page to a specific Fund:

  1. Navigate to Online Giving.

  2. Edit the applicable Giving Page.

  3. Open the Tracking section on the left as you scroll down

  4. Locate the Default Fund field.

  5. Search for and select the Fund you want to use.

  6. Click Save.

Gifts received through that Giving Page will use the selected Fund based on the page configuration.

Allow Donors to Choose a Fund

You can also allow donors to select which Fund their gift should support.

  1. Navigate to Online Giving.

  2. Edit the applicable Giving Page.

  3. Open the Tracking section on the left as you scroll down

  4. Turn on Allow Donors to Designate Gifts.

  5. Select a Default Fund if you want one preselected.

  6. Add the Funds you want donors to be able to choose from.

  7. Click Save.

This gives donors more control over how they designate their contribution while keeping the available options managed by your organization.

💡 If a Default Fund is selected while donor designation is enabled, that Fund can appear as the default option while still allowing the donor to choose another available Fund.

Funds and QuickBooks

Funds can be used alongside DonorDock's QuickBooks integrations to support accounting workflows.

Depending on how your integration is configured, information such as:

  • Fund Name

  • Account Number

  • Account Class Name

may be used when mapping DonorDock transactions to QuickBooks.

Because QuickBooks mapping options can vary by integration configuration, use the accounting values required by your organization's specific setup.

When to Use a Fund

Funds are most useful when you need to track the intended use of a donation.

Examples may include:

  • General Fund

  • Scholarship Fund

  • Building Fund

  • Emergency Assistance Fund

  • Youth Program Fund

  • Endowment Fund

  • Capital Improvement Fund

A Fund is different from a Campaign or Appeal because it describes where the money should go, rather than what fundraising initiative generated the gift or how the donor was solicited.

For example:

Campaign: 2026 Annual Campaign
Appeal: Spring Direct Mail
Fund: Scholarship Fund

This structure allows the same gift to capture the broader fundraising effort, the solicitation method, and the intended use of the donation.
