Exporting Report Data

Reports can be exported from DonorDock whenever you want to save results, share information externally, or analyze data in other programs. After generating Contact, Gift, or Activity Reports, you can export them in three formats: Excel, CSV, or PDF.

Before exporting, take a moment to make sure the report contains the records and information you actually need. Adjust the report filters, add or remove columns, apply any column filters, and sort or group the results as needed before creating the export.

Export a Report

To export report data:

  1. Navigate to "Reporting" > "Reports".

  2. Open a Standard or Custom Report, or create a new report.

  3. Set the report filters and click "Run Report".

  4. Add or remove columns and make any other report customizations you need.

  5. Click "Export" in the upper-right corner of the report.

  6. Choose to export the report to Excel, CSV, or PDF.

Export to Excel

Choose Excel when you want to continue working with the report data after it has been exported.

A DonorDock report gives you the records and fields you need, while Excel gives you additional tools to reorganize, summarize, compare, and visualize those results. This can be especially helpful when preparing internal reports, board materials, year-over-year comparisons, fundraising reviews, or other analysis that goes beyond a list of individual records.

An Excel export can be used to:

  • Compare information from multiple DonorDock reports

  • Perform additional calculations

  • Create formatted tables that are easier to read and share

  • Build PivotTables that summarize large sets of report results

  • Create charts and graphs from exported data

  • Create additional summary tables

  • Sort, filter, or reorganize information outside of DonorDock

  • Prepare report data for presentations or board packets

For example, rather than presenting a board with several hundred individual Gift records, you could export the Gifts to Excel and create a PivotTable showing the total amount raised by Campaign. You could then turn that summary into a chart that gives the board a much faster visual comparison of Campaign performance.

Export to CSV

Choose CSV when you need a simple, portable version of the report data.

CSV stands for Comma-Separated Values. A CSV file stores the report information as rows and columns without the additional workbook formatting and features available in an Excel file.

CSV exports can be useful when you want to:

  • Import DonorDock report data into another system

  • Upload a list to another program or service that requires CSV

  • Work with the report in software other than Excel

  • Use the exported data in a database or data-processing workflow

  • Create a simple data file without Excel-specific formatting

A CSV file can still be opened in Excel if you need to inspect or work with the data. However, if you begin adding Excel-specific features such as formatting, formulas, multiple worksheets, PivotTables, or charts, save the file as an Excel workbook before continuing. Those features are not part of the CSV file format.

Export to PDF

Choose PDF when you need a fixed copy of the report rather than a file you intend to continue analyzing.

  • Save a copy of report results for reference

  • Print the report

  • Share report information with someone who does not need to manipulate the underlying data
