Creating a Report

DonorDock Reports allow you to build a list of Contacts, Gifts, or Activities. You can begin with one of DonorDock's prebuilt standard reports or create a new custom report from scratch.

The first step is deciding what each row in your report should represent. Contact Reports return Contacts, Gift Reports work with Gift data, and Activity Reports work with Activities. Choosing the correct report type determines which filters and columns are available when you build the report.

Access Reports
  1. Open the "Reporting" menu

  2. Select "Reports"

The Reports page is arranged in three columns based on report type:

  • Contact Reports appear in the left column.

  • Gift Reports appear in the center column.

  • Activity Reports appear in the right column.

Within each column, DonorDock's standard reports are listed first. Any custom reports your organization has created and saved for that report type appear below the standard reports.

There are two ways to begin to create a report.

Start with a Standard Report

Standard reports are prebuilt for common reporting needs and can be a useful starting point when the report you need is already available.

Select the standard report you want to use and allow the report to generate. From there, you can adjust its filters, columns, sorting, or grouping as needed.

If you customize a standard report and want to keep those changes for future use, save it as a new custom report. Standard reports themselves cannot be renamed or permanently changed.

Create a Custom Report

If a standard report does not match what you need, you can create a new report from scratch.

  1. From the Reports page, click "+ Create".

  2. Select the type of report you want to create:

    • "Contact Report"

    • "Gift Report"

    • "Activity Report"

  3. The report filters will open so you can define which records should be included.

  4. Add the criteria you want to use.

  5. Click "Run Report".

DonorDock will generate the report using the criteria you selected.

You may choose to:

  • Adjust the report filters

  • Add or remove columns

  • Filter individual columns

  • Sort the results

  • Group records

  • Save the report for future use

  • Take available bulk actions

  • Export the results

These tools let you start with a broader report and gradually narrow it to the exact view you need.

If the report generates and you realize you need to change the original criteria, click the blue "Filters" button in the upper-left corner of the report. Update the filters, then click "Run Report" again to refresh the results.

This is different from filtering an individual report column. The blue "Filters" button allows you to update the main criteria used to generate the report, while column filters allow you to further narrow the data already displayed.

Save a Report You Will Use Again

If you create a report you'll use more than once, you can save it as a custom report. Saved reports keep their filters and columns, but they do not store a history of the records that were present when you saved the report. Each time you open the report, DonorDock retrieves the most recent data matching the saved filters.
