Contact Reports
Contact Reports help you learn more about the people, households, and organizations in your DonorDock database. Each contact appears only once in the report, even if they have multiple gifts, activities, memberships, or other records. This gives you a clear, simple overview of the contacts in your database.
This makes Contact Reports a good choice when you want to identify Contacts that meet a particular set of criteria. DonorDock includes several Standard Contact Reports for common reporting needs. You can also create a custom Contact Report and combine the available filters to build a more specific list.
Standard Contact Reports
Standard Contact Reports provide preconfigured starting points for common Contact-level reporting. When you open one of these reports, its filters are already set based on the report's purpose. You can still open the blue "Filters" menu to review or change those criteria as needed.
Standard Contact Report | What It Shows |
|---|---|
Active Donors | Contacts whose current Stage is Donor. |
Active Prospects | Contacts whose current Stage is Prospect. |
All Contacts | All non-archived Contacts regardless of Stage or Contact Type. |
All Donors This Month | Contacts whose most recent donation falls within the current month. |
All Donors This Year | Contacts whose most recent donation falls within the current year. |
Birthdays This Month | Contacts whose birthday falls within the current month. |
Donor by Owner | Contacts grouped by the team member assigned as the Owner of the Contact record. |
Lapsed Donors | Contacts whose current Stage is Lapsed. |
New Donors This Month | Contacts whose first recorded donation falls within the current month. |
New Donors This Year | Contacts whose first recorded donation falls within the current year. |
Second Time Donors This Month | Contacts whose second recorded donation falls within the current month. |
Second Time Donors This Year | Contacts whose second recorded donation falls within the current year. |
Understanding Contact Stages
Several Standard Contact Reports use the Contact's Stage to determine which Contacts should be included. DonorDock automatically assigns Contact Stages based on giving history.
By default, DonorDock uses a 24-month period to determine whether a contact is considered a Donor or Lapsed.
For example, with the default 24-month setting:
A contact who has never made a donation is a Prospect.
A contact who made a donation within the past 24 months is a Donor.
A contact who has made donations in the past, but not within the last 24 months, is Lapsed.
Because Stage is calculated from giving history, reports such as "Active Donors", "Active Prospects", and "Lapsed Donors" can be used as quick starting points without requiring you to recreate those filters manually.
Contact Report Filters
When you create a custom Contact Report or open the blue "Filters" menu on an existing report, you can use the main Contact Report filters to control which Contacts are returned.
If you leave a filter blank, DonorDock does not use that field to further limit the results. This means you only need to set filters that matter to the question you are trying to answer.
Active and Archived Contacts
The "Status" filter defaults to Active because most Contact reporting is intended to work with the Contacts currently in use in your database.
Archiving in DonorDock functions as a form of soft deletion. The Contact record remains in the database, but it is no longer treated as an active Contact. For example, when duplicate Contact records are merged, the record that is not retained may be moved to Archived status.
Because of this, including archived Contacts in a report can sometimes introduce records that are incomplete, outdated, or duplicates of an active Contact. In most cases, leaving "Status" set to Active will yield the most useful results. If you have a specific reason to review archived Contacts, you can add Inactive to the "Status" filter before running the report.
Deceased and Do Not Solicit Contacts
Contact Reports automatically leave out Contacts marked as Deceased or Do Not Solicit. These exclusions help prevent Contacts who should not receive normal solicitation or outreach from being unintentionally included in reporting workflows.
If you need either group included:
Click the blue "Filters" button in the upper-left corner of the report.
Check "Include Deceased" and/or "Include Do Not Solicit".
Click "Run Report" again.
The two settings are separate, so you can include one group without including the other.
Contact Types
The "Types" filter allows you to choose which kinds of Contact records should appear in the report.
DonorDock Contact Types include:
Individual
Household
Organization
You can select one or more Contact Types depending on what you are trying to analyze.
For example, you might select only Organizations when reviewing corporate supporters, only Households when using Household giving roll-up, or Individuals when preparing person-level outreach.
Badges
Badges provide a flexible way to identify or categorize Contacts based on information that matters to your organization. A Contact may have multiple Badges, which makes the "Badges" and "Exclude Badges" filters especially useful when creating more targeted lists.
You can select multiple Badges to include in the report, and you can also identify Badges that should be excluded.
For example, you might build a report around Contacts with a particular program Badge while excluding Contacts with another Badge that indicates they should not be part of the current outreach group.
Using the include and exclude Badge filters together can help you create more nuanced Contact groups without having to maintain a separate report for every possible combination.
Marketing Lists
The "Marketing Lists" and "Exclude Marketing Lists" filters work similarly to the Badge filters.
Use "Marketing Lists" when you want the report limited to Contacts who already belong to one or more selected lists. Use "Exclude Marketing Lists" when Contacts on particular lists should be left out of the results.
You can select multiple lists in either field, making these filters useful when comparing or combining existing audiences.
Active Members and Membership Types
Check "Active Members" when you want the report limited to Contacts who currently have an active membership.
A Contact is considered an active member when they have a Membership Gift recorded and the current date falls between the membership's Start Date and End Date.
You can further narrow the results with the "Membership Types" filter. Search for and select as many Membership Types as needed when you want to report only on Contacts associated with specific membership programs or levels.
Owner
The "Owner" filter allows you to report on Contacts assigned to specific team members.
The Owner of a Contact record identifies the team member associated with that Contact. You can select one or more team members in the filter to view only the Contacts they own. This is particularly useful when your organization divides relationship management among different team members.
The Standard "Donor by Owner" report provides another quick way to review Contacts grouped by Owner.
Birthday and Spouse Birthday
The "Birthday" and "Spouse Birthday" filters allow you to find Contacts based on birthdays occurring within a particular period.
Available options include:
Any
Last Month
This Month
Next Month
The Birthday filter uses the birthday recorded directly on the Contact, while "Spouse Birthday" uses the spouse birthday information recorded for that Contact.
First, Second, and Last Gift Date Filters
Contact Reports include three especially useful giving-history filters: "First Gift Date", "Second Gift Date", and "Last Gift Date".
All three filters share the same date-range options:
Any
Today
Last 7 Days
This Month
Last 30 Days
Last Month
This Quarter
Last Quarter
This Year
Last Year
This Fiscal Quarter
Last Fiscal Quarter
This Fiscal Year
Last Fiscal Year
Custom
First Gift Date
"First Gift Date" looks at the Contact's first recorded donation.
This is the filter to use when you want to identify new donors within a particular period.
For example, the Standard "New Donors This Year" report has "First Gift Date" set to "This Year". To find new donors from a different period, you could change this filter to "Last Month", "Last Fiscal Year", or a custom date range.
Second Gift Date
"Second Gift Date" works the same way but looks at the Contact's second recorded donation.
This is useful when you want to identify donors who have moved beyond their first Gift and made a second contribution.
For example, the Standard "Second Time Donors This Month" report uses the Contact's second Gift date to identify donors whose second Gift occurred during the current month.
Last Gift Date
"Last Gift Date" looks at the Contact's most recent recorded donation.
This filter is helpful when you want to identify Contacts based on how recently they have given.
For example, if you want to find donors whose most recent Gift occurred sometime within the last two years, select "Custom", enter the appropriate date range, and run the report.
The Standard "All Donors This Month" and "All Donors This Year" reports also use this logic. They identify Contacts whose most recent Gift falls within the current month or year.
Be Careful When Using Last Gift Date for Historical Reporting
The "Last Gift Date" filter is designed to answer questions about a Contact's most recent Gift. That makes it useful for recency reporting, but it can produce incomplete results when you are trying to analyze an older historical period.
For example, if you want to find everyone who donated between January 1, 2020 and December 31, 2021. If you set "Last Gift Date" to that period, DonorDock will return Contacts whose most recent Gift occurred during those dates. A donor who gave in 2020 but then gave again in 2024 would not appear because their Last Gift Date is now in 2024.
That Contact still donated during your historical period, but a Contact Report using "Last Gift Date" is no longer looking at the individual Gift from 2020. It is looking at the donor's current Contact-level statistic for their most recent Gift.
For historical giving analysis, use the "Giving Summary" Gift Report instead. The "Giving Summary" report works from the Gift records that occurred during the date range you select and then summarizes that giving by donor. This allows you to enter a historical date range and see the donors and summarized giving associated with that period, even if those donors have also given more recently.
