Campaign Overview

Campaigns in DonorDock help your organization organize and track larger fundraising initiatives. A Campaign can bring together related Gifts, Appeals, Activities, Pledges, goals, and other fundraising information so your team can monitor progress in one place.

Campaigns are available under Transactions > Campaigns.

A simple way to think about Campaigns, Appeals, and Funds is:

Tracking Option

Purpose

Campaign

What your organization is raising money for

Appeal

How your organization is soliciting donations

Fund

Where the donation is intended to be used

For example, your organization might create an Annual Campaign, connect several email and direct mail Appeals to that Campaign, and designate the received gifts to an applicable Fund.

Campaign Types

Each Campaign has a Campaign Type that helps identify the purpose of the Campaign.

Campaign Type

Description / Usage

Fundraising

Used for general fundraising initiatives that are not specifically an Event or Grant.

Event

Used for fundraising associated with a specific event, such as a gala, tournament, or fundraiser.

Grant

Used to organize grant-related fundraising, Gifts, Pledges, Activities, and other information.

For example, an organization might use:

  • Fundraising: 2026 Annual Campaign

  • Event: Spring Gala

  • Grant: Community Arts Expansion Grant

πŸ’‘ A Campaign can have multiple Appeals associated with it, but Campaigns cannot be linked to other Campaigns.

Campaign Fields

When creating or editing a Campaign, the following fields are available:

Buttons in these sections may also let you add new Gifts, Appeals, or Activities directly to the Campaign.

Edit a Campaign
  1. Open the Campaign.

  2. Click the Campaign Action Menu represented by the three vertical dots in the top right.

  3. Select Edit.

  4. Update the applicable Campaign information.

  5. Click Save.

Add Gifts to a Campaign

You can select a Campaign as a designation when creating or editing a Gift.

This allows your organization to associate received revenue with the larger fundraising initiative it supports.

Gifts associated with the Campaign will appear in the Campaign Gifts section and can also be filtered by Campaign in Gift Reports.

Add Activities to a Campaign

Activities can also be associated with Campaigns to help your organization track fundraising work related to the initiative.

Depending on your workflow, this may include:

  • Tasks

  • Meetings

  • Phone Calls

  • Emails

  • Asks

  • Notes

  • Other Activities

This can be especially helpful when Campaigns are used for events or grants where significant planning and follow-up occur outside of received Gifts.

Campaigns and Pledges

Pledges can be associated with a Campaign to track committed revenue that has not yet been fully received.

The Campaign Progress area can display both pledged and received amounts, helping your organization distinguish between funds already received and outstanding commitments.

When Pledged Gifts are later received and connected to the Pledge, those payments can also be associated with the Campaign.

Grant Campaigns

The Grant Campaign Type can organize records associated with a grant opportunity.

A Grant Campaign can serve as a central location for related:

  • Activities

  • Pledges

  • Grant Gifts

  • Notes

  • Fundraising goals

  • Appeals, when applicable

For example, once your organization identifies a grant opportunity, you may create a Grant Campaign for the opportunity, associate application-related Activities with the Campaign, create a Pledge after the grant is awarded, and record the received funds as Grant Gifts.

Import Campaigns

You can create Campaigns through the DonorDock Import tool.

You can also include campaign names when importing Gifts or Activities.

When importing a Gift with a Campaign value:

  • If the Campaign Name matches an existing Campaign in DonorDock, the Gift will be associated with that Campaign.

  • If no matching Campaign is found, DonorDock can create a new Campaign using the name from the import.

πŸ’‘ Campaign matching is based on the Campaign Name. Make sure spelling and spacing in your import file match the existing Campaign Name when you intend to connect records to an existing Campaign.

For example: 2026 Annual Campaign and Annual Campaign 2026 may be treated differently if the values do not match exactly.

Archive a Campaign

When a Campaign is complete, you can archive it instead of deleting it.

Archiving removes the Campaign from active use so that new Gifts and Activities cannot be associated with it, while preserving the historical Campaign information already stored in DonorDock.

To archive a Campaign:

  1. Navigate to Transactions > Campaigns.

  2. Open the Campaign.

  3. Click the Campaign Action Menu.

  4. Select Archive.

View Archived Campaigns

  1. Navigate to Transactions > Campaigns.

  2. Open the View dropdown in the top left.

  3. Select Archived.

  4. Search for and open the Campaign.

Reactivate an Archived Campaign

If a Campaign was archived by mistake or becomes active again:

  1. Navigate to Transactions > Campaigns.

  2. Select Archived from the View dropdown.

  3. Open the Campaign.

  4. Click the Campaign Action Menu.

  5. Select Reactivate.

The Campaign will become available for active tracking again.

Delete a Campaign

Administrators can permanently delete a Campaign when it is no longer needed.

  1. Navigate to Transactions > Campaigns.

  2. Open the Campaign.

  3. Click the Campaign Action Menu.

  4. Select Delete Campaign.

  5. Confirm the deletion.

⚠️ Deleting a Campaign cannot be undone. Whenever possible, consider archiving the Campaign instead when you want to preserve historical information.

πŸ’‘ Before deleting a Campaign, review your DonorDock Online Giving Pages and verify that the Campaign is not currently assigned to a Giving Page.

Merge Duplicate Campaigns

If duplicate Campaigns are created, you can merge them from the Campaign table.

  1. Navigate to Transactions > Campaigns.

  2. From the table, select the checkboxes next to the two Campaigns you want to merge.

  3. Click the Merge action.

  4. Select which Campaign you want to keep.

  5. Confirm the merge.

The Gifts and Activities associated with the Campaign that is not retained will be transferred to the Campaign you choose to keep. The other Campaign will be archived.

πŸ’‘ Campaigns can only be merged while viewing either the Active or Archived table. The Merge option is not available from the All view because that view can contain a mixture of active and archived Campaigns.

Campaign Performance Report

A Campaign Performance Report provides a quick summary of Campaign results and can be printed or saved as a PDF.

To access the report:

  1. Navigate to Transactions > Campaigns.

  2. Open the Campaign.

  3. Click the Campaign Action Menu.

  4. Select Report.

  5. The Campaign Performance Report will open.

  6. Click the Print icon to print or save the report as a PDF.

This report provides a quick Campaign summary and associated gift information.

πŸ’‘ If you need additional Gift fields, filtering, or grouping beyond what is available on the Campaign Performance Report, create a standard Gift Report and filter it by Campaign.

Create a Gift Report for a Campaign
  1. Navigate to Reporting > Reports.

  2. Click + Create.

  3. Select Gift Report.

  4. Enter the applicable date range.

  5. Add the Campaign as a report filter.

  6. Add any additional filters you need.

  7. Click Run Report.

You can then customize the report columns, apply column filters, or group the results.

Compare Multiple Campaigns

You can also use a Gift Report to compare giving across multiple Campaigns.

For example, you may want to compare donors who gave to both your 2025 and 2026 Annual Campaigns.

  1. Create a Gift Report with a date range that includes both Campaigns.

  2. Add both Campaigns to the Campaign filter.

  3. Click Run Report.

  4. Add or locate the Display Name column.

  5. Drag Display Name into the grouping area.

Grouping by Display Name allows you to review each donor's Gifts together and identify who contributed to one or both Campaigns.

Select Save As if you want to reuse the report.

Report on a Campaign by Appeal

You can also use Gift Reports to compare the Appeals associated with a Campaign.

  1. Navigate to Reporting > Reports.

  2. Create a new Gift Report.

  3. Enter the applicable date range.

  4. Select the Campaign.

  5. Select the Appeal or Appeals you want to include.

  6. Click Run Report.

  7. Drag the Appeal column into the grouping area to group Gifts by Appeal.

This can help your organization compare the performance of different solicitation methods within the same Campaign.

Campaigns and Online Giving

You can assign Campaigns to DonorDock Online Giving Pages so Gifts received through a particular page are automatically associated with the Campaign.

This allows your organization to maintain consistent Campaign tracking without manually editing each Gift received through the page.

Campaigns are also available as fields in Gift Reports, making it possible to combine Campaign and Giving Page information when analyzing Online Giving.

When to Use a Campaign

Campaigns are most useful when you want a central record for a larger fundraising goal or initiative.

Examples may include:

  • Annual campaigns

  • Capital campaigns

  • Giving days

  • Fundraising events

  • Grant opportunities

  • Emergency appeals

  • Special projects

For smaller or more specific solicitation methods within a Campaign, consider creating an Appeal rather than a separate Campaign.

For example:

Campaign: 2026 Annual Campaign
Appeal: Spring Direct Mail

This keeps the larger fundraising goal together while still allowing your organization to measure the effectiveness of individual solicitation efforts.
