Activity Reports

Activity Reports help you review the actions, communications, and engagement your organization tracks in DonorDock. Each row in an Activity Report represents an individual Activity, so the same Contact may appear multiple times when they have multiple Activities that meet the report criteria.

Standard Activity Reports

DonorDock includes several Standard Activity Reports for common Activity reporting needs. These reports come with filters already configured for their intended purpose, but you can adjust them after the report opens if you need a different date range or additional criteria.

Standard Activity Report

What It Shows

Activities by User This Month

Activities occurring during the current month, organized by the team member assigned to the Activity.

Completed Activities This Month

Activities with a Complete status and an Activity Date within the current month.

Emails This Month

Email Activities recorded during the current month.

Incomplete Activities This Month

Activities with an Incomplete status and an Activity Date within the current month.

Text Messages This Month

Text Message Activities recorded during the current month.

Unsubscribe Report

Provides a reporting view of unsubscribe activity so your organization can review Contacts who have unsubscribed from communications and what email they clicked the unsubscribe link on.

Standard reports are useful starting points, but you are not limited to their original criteria. Open the blue "Filters" menu if you need to adjust the date range, Activity Types, Status, User, or other available filters. You can also add additional filters on columns on the report once generated.

Activity Report Filters

When you create a custom Activity Report or open the blue "Filters" menu on an existing report, you can combine multiple filters to determine which Activities should be returned.

If a filter is left blank, DonorDock does not use that field to further restrict the report. For example, leaving "Campaign" blank allows Activities associated with any Campaign, as well as Activities without a Campaign, to be returned when they meet your other criteria.

Activity Date

The "Activity Date" filter determines the period of Activity history included in the report.

Available date ranges include:

  • Any

  • Today

  • Last 7 Days

  • This Month

  • Last 30 Days

  • Last Month

  • This Quarter

  • Last Quarter

  • This Year

  • Last Year

  • This Fiscal Quarter

  • Last Fiscal Quarter

  • This Fiscal Year

  • Last Fiscal Year

  • Custom

Selecting "Custom" allows you to enter your own start and end dates.

For example, you could set "Activity Date" to "Last Month" and "Activity Types" to Email to review Emails from the previous month, or select "Custom" to review all Activities during a particular event, campaign, or reporting period.

Campaign

Use the "Campaign" filter when you want to review Activities associated with one or more specific Campaigns.

Multiple Campaigns can be selected within the same report. Leaving the "Campaign" filter blank allows Activities from any Campaign, as well as Activities that are not associated with a Campaign, to be included when they meet your other report criteria.

Appeal

Use the "Appeal" filter when you want to review Activities associated with one or more specific Appeals.

Multiple Appeals can be selected, and the Appeal filter can also be combined with "Campaign" when you want to narrow the report to Activities connected to specific Appeals within a larger Campaign.

Fund

Use the "Fund" filter when you want to review Activities associated with one or more specific Funds.

Multiple Funds can be selected in the same report. Leaving this filter blank allows Activities associated with any Fund, as well as Activities without a Fund, to be included when they meet your remaining criteria.

Activity Types

The "Activity Types" filter determines which kinds of Activities should appear in the report.

Available Activity Types include:

  • Email

  • Phone Call

  • Letter

  • Meeting

  • Task

  • Event Attendance

  • Volunteer

  • Ask

  • Text

  • Receipt

  • Log Email

  • Log Text

You can select one or more Activity Types depending on what you are trying to review. Leaving "Activity Types" blank allows all Activity Types that meet your other filters to be included.

Recorded Communications vs. Logged Communications

Some Activity Types represent communications sent or created through DonorDock, while others let your organization record interactions that occurred outside of DonorDock.

For example, "Log Email" and "Log Text" can be used to preserve a record of communications that were not originally sent through DonorDock. You can still include these Activities in Activity Reports so your organization can maintain a more complete engagement history.

Ask Stage

The "Ask Stage" filter is used specifically when reporting on Ask Activities.

Asks allow your organization to track fundraising requests as they move through the solicitation process. When your report includes Ask Activities, the "Ask Stage" filter can be used to narrow the results to Asks that are currently in particular stages.

If your report is not focused on Ask Activities, you can leave this filter blank.

Status

The "Status" filter determines which Activity statuses are included in the report.

By default, Activity Reports include:

  • Incomplete

  • Complete

You can also include:

  • Canceled

An Incomplete Activity represents something that is still outstanding or has not yet been marked complete. A Complete Activity represents an Activity that has been finished or recorded as completed. A Canceled Activity remains part of the Activity history but indicates that the planned Activity will not be completed.

Badges and Exclude Badges

The "Badges" and "Exclude Badges" filters allow you to narrow Activity results using Badges assigned to the Contact associated with each Activity.

Use "Badges" when you only want Activities connected to Contacts with selected Badges. Use "Exclude Badges" when Activities associated with Contacts carrying particular Badges should be left out. Multiple Badges can be selected in either filter.

For example, you could report on Phone Calls completed this year for Contacts with a Major Donor Badge while excluding Contacts with another Badge that is not relevant to the current outreach effort.

The Activity itself does not receive the Badge. DonorDock is using the Badge information from the Contact connected to that Activity to determine whether the Activity should appear in the report.

User

The "User" filter allows you to report on Activities assigned to particular DonorDock team members.

This differs from the Contact Owner. The Contact Owner identifies the team member who owns or manages the Contact record. The User associated with an Activity is the team member assigned to that specific Activity.

Those two people may be the same, but they do not have to be.

You can select one or more Users when you want to review Activities assigned across multiple team members.

The Standard "Activities by User This Month" report provides a quick starting point when you want to review current-month Activity by assigned User.
